Administration & Management
It can be useful for any sports club, no matter how big or small, to have some basic arrangements in place. In this section you will find information and templates to help a committee managing and administering a club.
Constitutions
A constitution set outs the purpose and rules of your club. Each club affiliated with the SCA must have an approved Constitution.
Club Structures
Club committees need to select the most appropriate form of legal structure for their club. This is important to be formally recognised, open a bank account, enter into agreements for hiring facilities etc.
There are several options which clubs can choose – some of the main considerations are detailed below. More details and advice is available from Help for Clubs.
Meetings
Club general meetings are referred to in the Club Constitution, along with rules (quorum for a meeting, days of notice etc).
- Annual General Meetings are held to discuss club’s annual reports & accounts, electing officers, discuss/vote on amendments to constitution.
- Extra-ordinary Meetings are called upon if a proportion of the club’s members (as stated in the Constitution) wish to discuss an urgent matter which cannot wait until the AGM.
- Committee Meetings will take place as/when required and will discuss the day-to-day running of the club.

Policies & Procedures
As your club develops, it is advisable to establish some club policies which set out how the club and members should operate.

Insurance
The SCA provides affiliated clubs with insurance in respect of their official designated club activities. This excludes informal activities not regulated or endorsed by the Club. View the SCA Insurance Policy.
Individuals who require insurance cover for their paddling activities outside of official club sessions/trips can obtain this through joining the SCA as an individual member.
